Privacy Policy & Terms of Use

This Privacy Policy and Terms of Use applies across the OneDock network, including: onedock.co.uk, eventsdock.co.uk, opportunitydock.co.uk, supportdock.co.uk and commondock.co.uk.

Together, we refer to these websites, platforms and services as “OneDock”, “the Docks”, “the Platform” or “the Service”.

All OneDock services are operated by Good Ship Consultancy Limited, trading as GoodShip*, a company registered in England and Wales under company number 15705335.

Part One: Privacy Policy

1About OneDock

OneDock is designed to make useful information, organisations, opportunities, events, support and connections easier to discover.

Different parts of OneDock provide different services.

  • OneDock brings the wider network together.
  • EventsDock helps people discover events and activities.
  • OpportunityDock helps people discover grants, funding, programmes, competitions, awards and other opportunities.
  • SupportDock provides a searchable directory of professional services, business support organisations and other providers.
  • CommonDock helps charities, community organisations, businesses, funders, volunteers and others create profiles, publish needs and offers, and connect with each other.

All of these services form part of the OneDock network and are operated by Good Ship Consultancy Limited.

Some services can be browsed without creating an account. Other services, including parts of OpportunityDock and CommonDock, may require you to create an account or profile.

2The information we collect

The information we collect depends on which parts of OneDock you use.

Information you give us

This may include your name, email address, telephone number, organisation, role or job title, general location, account login information, interests, skills, preferences and information you choose to include in a profile.

It may also include information you submit when listing an event, opportunity, organisation, service, request for support, offer of support or other content.

If you contact us, we may retain your enquiry and our correspondence with you.

Account information

Where you create a OneDock account, we may process information including your email address, authentication information, account identifier, profile details, preferences, saved opportunities, followed topics and other account activity.

Passwords should normally be stored by our authentication provider in encrypted or hashed form. We do not need to know your password and you should never send it to us by email.

Organisation and profile information

If you create or manage a public organisation or individual profile, information you choose to publish may be visible to other users and to visitors to the Platform.

This may include your name, organisation, role, professional interests, skills, services, offers, needs, general location, website and contact details.

You should only publish information that you are comfortable making public.

Information collected automatically

When you use our websites, we may automatically collect technical information such as your IP address, browser and device type, operating system, pages visited, referring website, dates and times of access, approximate location derived from an IP address, and diagnostic or security information.

We may also collect information about how people navigate and interact with the Platform.

3Information obtained from public sources

A significant part of OneDock is designed to make existing information easier to discover.

We may collect organisation and professional information from publicly available sources including organisation websites, membership directories, professional directories, public bodies, funding organisations, event websites, public datasets, social channels and other publicly accessible sources.

SupportDock may bring together information from professional and membership directories and organisations' own websites.

OpportunityDock may collect and structure information published by grant makers, government bodies, funding organisations and programme providers.

We may combine, classify, verify, summarise and update this information to improve search and discovery.

Where the information relates to an identifiable person, it may constitute personal data even though it is publicly available.

Our lawful basis for this processing will normally be our legitimate interests in creating and maintaining a useful discovery service, improving the visibility of organisations and opportunities, maintaining accurate records and helping users find relevant information.

We consider the nature of the information, where it was published, the reasonable expectations of the person concerned and the potential impact of our use.

If you believe information about you or your organisation is inaccurate, should not be displayed or should be removed, contact hello@goodship.agency.

4How we use your information

We may use personal data to operate and maintain OneDock, create and manage accounts, provide profiles and listings, respond to enquiries, provide saved searches and personalised features, send service notifications, administer events or submissions, facilitate connections between users, protect the Platform from abuse or unauthorised access, analyse how the Platform is being used and improve our services.

We may also use information to verify, categorise, deduplicate and improve listings and datasets.

Where you have chosen to receive newsletters, opportunity alerts, event updates or other marketing communications, we may use your details to provide those communications.

Accepting these Terms is not the same as consenting to marketing.

Where consent is required for electronic marketing, we will ask for it separately and you can withdraw it at any time.

5Our lawful bases

Depending on what we are doing, we may process your personal information under different lawful bases.

We may process information because it is necessary to provide a service or account you have requested and therefore necessary for performance of a contract or to take steps at your request.

We may rely on our legitimate interests to operate, secure and improve OneDock, maintain useful public directories, verify information, prevent misuse, understand Platform performance and provide relevant discovery and matching features.

Where required, we rely on consent, including for certain marketing communications and non-essential cookies.

We may also process information where necessary to comply with a legal obligation or to establish, exercise or defend legal rights.

Where we rely on legitimate interests, you have the right to object to that processing in certain circumstances.

6AI and automated tools

OneDock may use software, automated processes and artificial intelligence tools to help organise information.

These tools may be used to classify organisations, categorise services, tag content, identify duplicates, summarise publicly available information, improve search results, suggest opportunities or connections, check information against sources and identify records that may need human review.

Automated tools can make mistakes.

Where appropriate, information produced by these systems may be reviewed, corrected or supplemented by people.

We do not currently use solely automated decision-making that produces legal effects or similarly significant effects on individuals.

We may introduce additional automated features as OneDock develops. If those features materially change how personal data is used, we will update this Privacy Policy.

7Public profiles and content

Some parts of OneDock are deliberately public.

If you publish an organisation profile, event, opportunity, support offer, support request or other public content, that information may be accessible to people who are not registered users.

Public pages may also be indexed by search engines.

You are responsible for making sure you have the right to publish any personal data you include in content submitted to OneDock.

Do not publish confidential information, passwords, financial account information, medical information, safeguarding information or sensitive information about another person.

Organisations should not use CommonDock or any other part of OneDock to publish personal details about beneficiaries, service users or vulnerable individuals unless there is a clear lawful reason to do so and the Platform specifically supports that purpose.

8Who we share information with

We do not sell personal information.

We may share information with suppliers that help us operate OneDock, including providers of website hosting, databases, authentication, cloud infrastructure, email delivery, analytics, security, technical support and software development.

These organisations process information on our behalf or provide infrastructure necessary to run the Service.

We may share information with another organisation where you have specifically asked us to make a connection or where sharing is an inherent part of a feature you have chosen to use.

We may also disclose information where required by law, regulation, court order or another lawful authority, or where reasonably necessary to protect OneDock, our users or others from fraud, security threats or unlawful activity.

If the ownership or operation of OneDock changes, relevant data may be transferred as part of that transaction subject to applicable data protection law.

9International data transfers

Some technology suppliers may process or store information outside the United Kingdom.

Where personal data is transferred internationally, we take appropriate steps to ensure that the transfer complies with UK data protection law.

Depending on the destination and supplier, this may include relying on UK adequacy regulations or appropriate contractual and organisational safeguards.

You can contact us if you would like further information about safeguards relating to a particular transfer.

10How long we keep information

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected.

Active account information will normally be retained while your account remains active.

If an account is closed, information that is no longer required will be deleted or anonymised within a reasonable period, although residual copies may remain temporarily in backups.

Public organisation and directory information may be retained while the organisation remains active or while the information continues to be relevant to the purpose of the directory.

Expired events, opportunities and support listings may be retained in an archive where there is a legitimate reason to maintain a historical record.

Enquiries and general correspondence may normally be retained for up to two years.

Security and technical logs may normally be retained for up to twelve months unless a longer period is required to investigate an incident.

Records needed for legal, contractual, accounting or regulatory purposes may be retained for longer where required.

Where someone unsubscribes from marketing, we may retain a minimal suppression record so that we can respect that preference.

We periodically review the information we hold and delete or anonymise information that is no longer required.

11Cookies and similar technologies

OneDock may use cookies and similar technologies.

Some cookies are strictly necessary for functionality such as account login, authentication, security, accessibility settings and remembering essential preferences.

We may also use analytics or other non-essential technologies to understand how people use the Platform and improve its performance.

Where consent is legally required, non-essential cookies will not be activated until you have made a choice.

You should be able to reject non-essential cookies as easily as accepting them and change your preferences later.

Individual OneDock services may provide more detailed cookie information where their technology or cookie use differs.

12Marketing and alerts

You may be able to subscribe to funding alerts, event updates, newsletters, recommendations or other communications.

Service messages necessary to operate your account are different from marketing communications.

Where required by law, we will only send electronic marketing where you have consented or where another applicable legal permission allows us to do so.

You can unsubscribe from marketing at any time using the unsubscribe option in the communication or by contacting us.

Closing an account and unsubscribing from marketing are separate actions.

13Security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

However, no website, database or online service can guarantee absolute security.

You are responsible for protecting your own login credentials, using a strong password and notifying us if you believe your account has been compromised.

14Your data protection rights

Depending on the circumstances and the lawful basis on which we process your information, UK data protection law may give you rights to access the personal data we hold about you, correct inaccurate information, request deletion, restrict processing, object to processing and receive certain information in a portable format.

Where processing is based on consent, you can withdraw that consent at any time.

You have an absolute right to object to your personal data being used for direct marketing.

We may need to confirm your identity before completing a request.

You also have the right to complain to the Information Commissioner's Office (ICO) if you believe your personal information has been handled unlawfully.

We would appreciate the opportunity to deal with your concerns first, so please contact us if something does not look right.

15Under-18s

OneDock is primarily designed for organisations, professionals, businesses, charities, community organisations and adults participating in the wider ecosystem.

Users must normally be 18 or over to create their own OneDock account.

If we introduce services specifically designed for younger users or young volunteers, we will introduce appropriate privacy, consent and safeguarding arrangements for those services.

16Changes to this Privacy Policy

OneDock is an evolving project and its features will change.

We may update this Privacy Policy when we introduce new services, change technology suppliers, change how information is processed or need to reflect changes in the law.

The latest version will always show the date it was last updated.

Where a change materially affects registered users or how we use their information, we may also notify them through the Platform or by email.

Part Two: Terms of Use

17Acceptance of these Terms

These Terms govern your use of the OneDock network.

By using the Platform, creating an account, submitting content or creating a profile, you agree to these Terms.

If you are using OneDock on behalf of an organisation, you confirm that you have authority to act on behalf of that organisation.

If you do not agree with these Terms, you should not create an account or use features that require acceptance of them.

18What OneDock provides

OneDock is primarily an information, discovery and connection platform.

We bring together information from multiple sources and make it easier to search, understand and discover.

All OneDock services are provided by Good Ship Consultancy Limited.

The names OneDock, EventsDock, OpportunityDock, SupportDock and CommonDock identify different parts of the Platform. They do not represent separate companies, partnerships or legal entities.

OneDock does not automatically become a party to any relationship, agreement or transaction that results from information or connections made through the Platform.

19EventsDock

EventsDock helps users discover events.

Unless we specifically state otherwise for a particular event, Good Ship Consultancy Limited is not the organiser, ticket provider or venue operator for third-party events listed on EventsDock.

Event information may change.

You should always check important information including date, time, venue, accessibility, availability, ticket price, cancellation terms and eligibility with the event organiser before travelling or making a purchase.

Any booking or ticket purchase completed through a third-party website is subject to that provider's own terms and privacy policy.

20OpportunityDock

OpportunityDock helps people and organisations discover funding, grants, programmes, competitions, awards and other opportunities.

Information is provided for discovery and general information purposes.

We aim to link users back to the original funder or programme provider so that important information can be verified.

Good Ship Consultancy Limited does not guarantee that an opportunity remains open, that published information is complete or accurate, that you or your organisation are eligible, that an application will be successful or that funding will be awarded.

Amounts, dates, eligibility information and summaries should always be checked against the original provider before taking action.

Nothing on OpportunityDock constitutes financial, investment, legal, tax or professional advice.

21SupportDock

SupportDock helps users find professional services firms, advisers, networks and support providers.

Some records are assembled from public sources, membership directories and organisations' own websites and may be classified or enriched using automated analysis.

A listing does not mean that Good Ship Consultancy Limited endorses, recommends, accredits or has independently verified the provider.

Membership information reflects the source from which the record was collected and should not be treated as confirmation of current membership or regulatory status.

Before appointing a professional adviser, you are responsible for carrying out appropriate due diligence, checking qualifications or regulatory status where appropriate, agreeing fees and entering into your own contract with the provider.

22CommonDock

CommonDock is part of the OneDock network and is operated by Good Ship Consultancy Limited.

It is intended to help charities, community organisations, businesses, funders, volunteers and others discover each other and exchange support.

OneDock may help make introductions or provide tools through which users can publish needs, offers, skills, opportunities and resources.

Unless expressly agreed otherwise, Good Ship Consultancy Limited is not the employer, agent, representative, partner or guarantor of any organisation or individual using CommonDock.

Users are responsible for deciding whether another person or organisation is suitable to work with.

Where appropriate, users should carry out their own safeguarding checks, professional checks, insurance checks, background checks and other due diligence before working together.

A match or introduction through CommonDock is not a guarantee that an arrangement will be suitable, successful, safe or completed.

23Accounts

You must provide accurate information when creating an account and keep relevant account information reasonably up to date.

You are responsible for activity carried out through your account.

You must keep your password and other authentication credentials secure and must not allow another person to impersonate you.

If you create or manage an organisation profile, you confirm that you are authorised to represent that organisation or have permission to manage its information.

We may introduce verification processes for certain accounts or organisations. Verification means that we have completed the checks described by that particular process. It is not an endorsement or guarantee.

24Content you submit

You retain ownership of content you submit to OneDock.

By submitting content intended for publication, you give Good Ship Consultancy Limited a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, display, format and distribute that content as reasonably necessary to operate and promote the relevant OneDock service.

This licence ends when the content is permanently removed from our systems, except where copies need to be retained for legal, security or backup purposes or where the content has already been legitimately shared by others.

You confirm that you have the necessary rights and permissions to submit the content.

You remain responsible for its accuracy and legality.

25Acceptable use

You must use OneDock lawfully and responsibly.

You must not use the Platform to:

  • commit fraud or another unlawful act;
  • impersonate another person or organisation;
  • publish defamatory, discriminatory, threatening, abusive or deliberately misleading material;
  • infringe intellectual property, privacy or confidentiality rights;
  • publish personal information about another person without an appropriate basis;
  • upload malicious software;
  • attempt to bypass security or gain unauthorised access;
  • interfere with the operation of the Platform;
  • use contact information obtained through OneDock for spam or unlawful unsolicited marketing;
  • systematically scrape or bulk-extract the OneDock database for resale or republication;
  • create misleading listings or fake opportunities; or
  • use automated systems in a way that places unreasonable load on the Platform or circumvents restrictions.

Reasonable sharing of individual public listings and links is encouraged.

If you want to use OneDock data at scale, contact us to discuss appropriate access or licensing.

26Moderation

We may review, edit, refuse, suspend or remove content where we reasonably believe it is inaccurate, unlawful, misleading, unsafe, inappropriate, duplicated, out of date, contrary to these Terms or harmful to the operation or reputation of the Platform.

We are not obliged to pre-screen every piece of user-submitted content.

If you believe something on OneDock is inaccurate, unlawful or infringes your rights, contact us and provide enough information for us to investigate.

27Corrections and removal

OneDock is intended to be useful and accurate.

Organisations and individuals may contact us to request correction of inaccurate information.

Where appropriate, an organisation may also request removal of a public directory listing.

We may need to retain limited information where there is a legal requirement or legitimate reason to do so.

28Intellectual property

The OneDock network and individual Dock websites, their design, software, taxonomy, database structure, branding, original content and other materials created by us are owned by or licensed to Good Ship Consultancy Limited, unless otherwise stated.

Third-party organisation names, event information, funding information, logos, trademarks and other third-party materials remain the property of their respective owners.

Nothing in these Terms transfers ownership of our intellectual property to you.

You may access and use OneDock for legitimate personal, community and business purposes.

You may not reproduce, resell or commercially exploit a substantial part of the Platform or compiled datasets without our permission.

29Third-party websites and services

OneDock contains links to websites and services operated by other organisations.

We do not control those websites.

Their availability, content, security, privacy practices and services are the responsibility of their respective operators.

A link from OneDock does not automatically constitute an endorsement.

You should review the relevant provider's own terms and privacy information before providing personal information, making an application, booking an event, purchasing something or entering into an agreement.

30Accuracy and availability

We work to make OneDock useful and reliable, but the Platform contains information from many different sources and is continuously changing.

We cannot guarantee that every record will always be accurate, complete, current or available.

The Service is therefore provided on an “as available” basis.

We may change, add, remove, suspend or discontinue features where reasonably necessary.

We may also temporarily restrict access for maintenance, security or technical reasons.

31Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Subject to those protections, Good Ship Consultancy Limited is not responsible for losses resulting from reliance on inaccurate or outdated third-party information, decisions made by funders or event organisers, the acts or omissions of users or listed organisations, failed applications, missed deadlines, cancelled events, unsuccessful introductions or the availability of third-party websites.

Where you are using OneDock for business purposes, we will not be liable for indirect or consequential loss, loss of profits, loss of revenue, loss of anticipated savings, loss of business opportunity or loss of goodwill arising from use of the Platform, to the extent permitted by law.

Nothing in these Terms affects any statutory rights that cannot legally be excluded.

32Suspension and termination

You can stop using OneDock at any time.

Registered users may request closure of their account.

We may suspend or terminate access where we reasonably believe an account is being used unlawfully, fraudulently, maliciously, in serious breach of these Terms or in a way that creates a security or safeguarding risk.

Where appropriate, we will try to explain the reason for suspension or termination.

Sections of these Terms that by their nature are intended to continue after termination, including intellectual property and liability provisions, will continue to apply.

34Changes to these Terms

OneDock will continue to develop.

We may update these Terms to reflect new functionality, changes to the Platform, legal requirements or changes in the way services operate.

The current version will always show the date it was last updated.

If a material change affects registered users, we may notify them by email, through their account or when they next use the relevant service.

35Governing law

These Terms are governed by the laws of England and Wales.

The courts of England and Wales will have jurisdiction over disputes relating to these Terms, subject to any mandatory rights available to individual consumers under applicable law.
